Merge Listings and Transactions

In this article, we'll walk you through the process of merging a Listing file and a Transaction file in SkySlope.

Getting Started

There are two types of files in SkySlope: Listing and Transactions. Listings are seller- or landlord-represented files. Transactions are buyer- or tenant-represented files. Usually, a seller's agent will create a Listing and convert it into a Transaction when there is an accepted offer, whereas a buyer's agent will simply create a Transaction file.

  • A Listing file will only contain Listing Documentation.
  • A standalone Transaction file will only contain Sales and Closing Documentation.
  • A listing sold Transaction file (whether it's merged or converted) will contain Listing, Sales and Closing Documentation.

Why merge a Listing and a Transaction? Well, there could be a few different reasons:

  • The Listing Agent accidentally created the Listing and the Transaction separately. 
  • The Listing Agent accidentally created the Transaction before the Listing.
  • Both the Listing Agent and the Buyer's Agent are from the same brokerage.
  • The Listing Agent ended up representing both sides.

In a nutshell... You now have separate Listing and Transaction files that you want to combine. Only by combining files will you have Listing, Sales and Closing Documentation all in one file. Additionally, a Listing file that is never merged into or converted into a Transaction cannot be closed in SkySlope and will remain active/expired until it's merged or converted into a Transaction.

 

How to Merge a Listing and a Transaction

Follow one of two methods to combine separate Listing and Transaction files into one merged Transaction file:

Option 1: From Within a File

  1. Navigate to the Transaction file. 
  2. Click on Transaction Actions in the upper right. 
  3. Select Merge Transaction.
  4. Suggested Match: If there is a Listing file with an address that matches the Transaction, it will be a suggested Listing to merge with the Transaction.
    Search for Match: If there is no Listing file with a matching address, use the search bar to locate the Listing you want to merge.
  5. Click Confirm and Merge.

 

Option 2: From Manage Transactions

  1. Navigate to Manage Transactions.
  2. Locate the file and click on the actions icon DTM Actions Menu ICon.png.
  3. Select Merge Transaction.
  4. Suggested Match: If there is a Listing file with an address that matches the Transaction, it will be a suggested Listing to merge with the Transaction.
    Search for Match: If there is no Listing file with a matching address, use the search bar to locate the Listing you want to merge.
  5. Click Confirm and Merge.

Important Details

exclamation.png To successfully merge a Listing and Transaction file, the following fields must match in each file:

  • Zip Code/Postal Code: The zip code/postal code must match in the Listing and Transaction files. If they don't match, the file will adopt the zip code/postal code from the Transaction file.
  • Agent Name: The Primary Agent name must match in the Listing and Transaction files. If you are trying to merge Listing and Transaction files for two different agents, the file will adopt the agent on the Transaction as the primary agent. If you need to keep two different agents on the file, follow these steps:
    • Complete the file merge > Add the Listing Agent as the Co-Agent on the file > Change the Representation Type to Both Purchase and Listing.

 

 

After Merging Files

Once the Listing and Transaction files have been merged, you will have one file for that address instead of two! Additionally, the Listing Checklist and Transaction Checklist will both be available in the merged file. All of the Documents and all activity on the Log will remain available in the merged file as well.
