Adding Contacts
First things first, it's imperative that you ensure your file contacts are set up correctly.
When creating your file, be sure to select the box for "The client is a company, trust, or other entity". This will allow you to enter the name of the organization, and the name and email address of the representative who will be signing on behalf of the organization.
If you didn't set your contact up as a representative when you created your file, have no fear! You can change the contact from a standard contact to a representative:
- Open your Forms file, and navigate to the File Details tab.
- Scroll down to the Contacts section.
- Locate the contact and click Edit.
- Check the box for "This is an entity, company, or trust".
- Enter the organization name.
- Be sure the representative name is listed correctly.
- Click Save.
NOTE: Depending on your situation and state requirements, you may need to add a designation next to the representative's name, such as "Trustee". Be sure this information is entered into the contact details to ensure your forms and signature blocks will populate correctly.
Preparing an Envelope
Once your representative contacts have been entered into your Forms file correctly, the forms and signature blocks will populate, clearly listing the representative as signing on behalf of the trust/company/entity.
In the example below, we see the Trust of Mickey Mouse as the party on the Listing Agreement, but the representatives signing the forms are Donald and Daisy Duck.
