One sure-fire way to stay on-top of your files in SkySlope is to ensure all files have the correct status. In SkySlope, there are several different file statuses, and these statuses dictate whether certain actions can or cannot be taken within that file. In this article, we'll take a deep dive into SkySlope's file statuses.
Let's start with some of the basics:
What is a file status in SkySlope?
In SkySlope, a file status is a label that is applied to Listing or Transaction file in SkySlope.
How is the status label assigned to my file?
The status of a file can be dictated by a few things, such as Listing Expiration Date or the Closing Date, as well as actions that have been taken on the file, such as closing or canceling the file.
Where do I see my file's status?
You can see the status of your Listing files by going into Manage Listings from the home page. Similarly, you can see the status of your Transactions by clicking on Manage Transactions from the home page.
Here's an example of what file statuses look like:
Now, let's dive into each status for the various file types.
Listing Files:
Listing files will have an Active status if today's date is within the dates entered for the Listing Date and the Listing Expiration Date.
Example
Today's date: 11/21/2019
Listing Date: 11/17/2019
Listing Expiration Date: 5/17/2021
Explanation
Since today's date (the date that you are looking at the file in SkySlope) is within the Listing Date and the Expiration Date, this Listing will have an Active status.
What can I do in an Active Listing?
There are no limitations to what you can do with an Active Listing.
You can cancel the Listing if it expires and your sellers don't re-list, or if you get an accepted offer, you can convert it into a Pending Transaction.
Note: You may not be able to convert your Listing unless you've uploaded all of the required documents.
Listing files will have an Expired status if today's date falls after the date entered for the Listing Expiration Date.
Example
Today's date: 11/21/2019
Listing Expiration Date: 11/15/2019
Explanation
Since today's date (the date that you are looking at the file in SkySlope) is after the Listing Expiration Date, this Listing will have an Expired status.
What can I do in an Expired Listing file?
There are no limitations to what you can do with an Expired Listing.
If your Listing is expired and your sellers aren't re-listing, you can withdraw your Listing.
If your Listing is showing as expired, but your sellers extended the Listing, you can update the date in the file to change the status back to Active. To do so, simply 1) open your file, 2) change the Listing Date with the calendar picker, and 3) click Next to save your changes.
Listing files will have a Canceled/Pending status when the file has been canceled, but the cancellation hasn't been approved by an Admin or Broker.
This can happen two ways:
1. Canceled/Pending is the default status when an Agent cancels a file since the cancellation has to be approved by an Admin or Broker.
2. When an Admin/Broker cancels a file, they have the option to either Fully Cancel a file by checking the box for Fully Canceled, or if they don't check the box, the file will remain in a Canceled/Pending status until the cancelation is later approved.
What can I do in a Canceled/Pending Listing file?
There are some limitations to what you can do with a Canceled/Pending Listing.
If your Listing is Canceled/Pending, you cannot convert it into a Transaction to add the buyer's information. To convert a Canceled Listing into a Transaction, it would first need to be reactivated. A Canceled/Pending Listing can only be reactivated by an Admin or Broker.
Additionally, the data within a file of this status cannot be updated, as there is no Next button to click and save your changes.
Listing files will have a Canceled/App (or Cancellation Approved) status when they have been canceled by the Agent and approved by the Admin or Broker, or if they have been canceled by the Admin/Broker and checked the box for Fully Canceled.
What can I do in a Canceled/App Listing file?
There are some limitations to what you can do with a Canceled/App Listing.
If your Listing is Canceled/App, you cannot convert it into a Transaction to add the buyer's information. To convert a Canceled Listing into a Transaction, it would first need to be reactivated. A Fully Canceled Listing can only be reactivated by an Admin or Broker.
Additionally, the data within a file of this status cannot be updated, as there is no Next button to click and save your changes.
Transaction Files
Transaction files will have a Pending status if today's date is within the dates entered for the Acceptance Date and the Closing Date.
Example
Today's date: 11/21/2019
Acceptance Date: 11/17/2019
Closing Date: 12/17/2019
Explanation
Since today's date (the date that you are looking at the file in SkySlope) is within the Acceptance Date and the Closing Date, this transaction will have a Pending status.
What can I do in a Pending Transaction file?
There are no limitations to what you can do with a Pending Transaction.
If the Transaction is Pending, it can be canceled by the Agent or by an Admin/Broker. The file can be marked as Closed/Archived by an Admin/Broker only.
A Transaction will have an Incomplete status if all of the required tabs haven't been filled out.
This can happen two ways:
1. If you click on Create Transaction on the home page to enter a new Transaction file, and don't complete the required information on the required tabs.
2. If you're converting your Listing into a Transaction by clicking on Accepted Contract button on the Checklist tab of the Listing, and don't complete the required information on the required tabs.
Required tabs of a Transaction:
-Transaction tab (where you enter sales price, acceptance date, etc)
-Contacts tab (where you enter the buyer's and seller's names)
-Commission tab (where you enter the listing and sale commission percentages)
Note: If you fill out the 3 required tabs, and do not click on Submit on the Commission tab, your file will still have an Incomplete status. To take it from Incomplete to Pending, you need to get to the Commission tab and click on Submit.
What can I do in an Incomplete Transaction file?
There are several limitations to what you can do with an Incomplete Transaction.
Since an Incomplete Transaction doesn't have a Checklist tab or a Documents tab, you cannot upload documents into an Incomplete Transaction. Additionally, if you're in the process of converting a Listing to a Transactions, and you don't complete the required Transaction information, you won't be able to access the Listing Documents until you've done so.
My Listing is still Active! I didn't mean to click on Accepted Contract! What can I do?
If you accidentally clicked on Accepted Contract, and need to keep your Listing as Active, you can Delete the Incomplete Transaction to restore your Listing.
Transaction files will have an Expired status if today's date falls after the date entered for the Closing Date.
Example
Today's date: 11/21/2019
Closing Date: 11/15/2019
Explanation
Since today's date (the date that you are looking at the file in SkySlope) is after the Closing Date, this Transaction will have an Expired status.
What can I do in an Expired Transaction file?
There are no limitations to what you can do with an Expired Transaction.
If your Transaction file is Expired because the deal fell through and never closed escrow, you can cancel the Transaction to update the status.
My file closed escrow, why is it still showing as Expired?
If your Transaction closed escrow, but it's still showing with an Expired status in SkySlope, that is simply because today's date (the date you're looking at the file) is after the Closing Date listed on the file. That also means that your Admin/Broker has not yet marked the file as closed; once they close the file, it will have a Closed/Archived status.
Similar to a Listing file, a Transaction will have a Canceled/Pending status when the file has been canceled, but the cancellation hasn't been approved by an admin or broker.
This can happen two ways:
1. This is the default status when an Agent cancels a file since the cancellation has to be approved by an Admin or Broker.
2. When an Admin/Broker cancels a file, they have the option to either Fully Cancel a file by checking the box for Fully Canceled, or if they don't check the box, the file will remain in a Canceled/Pending status until the cancelation is later approved.
What can I do in a Canceled/Pending Transaction file?
There are some limitations to what you can do with a Canceled/Pending Transaction.
If your Transaction is Canceled/Pending, the file cannot be marked as Closed or Archived. To Close or Archive a Canceled/Pending file, it would first need to be Fully Canceled; once it's Fully Canceled, it can be Reactivated and Closed.
Additionally, the data within a file of this status cannot be updated, as there is no Next button to click and save your changes.
My Transaction canceled because the deal fell through, but I need to keep my Listing active so I can add the Transaction for the new buyers. How can I do that?
If the Transaction tied to your Listing fell through, you can cancel the Transaction and reactivate the Listing.
Just like Listing files, Transaction files will have a Canceled/App (or Cancellation Approved) status when they have been canceled by the Agent and approved by the Admin or Broker, or if they have been canceled by the Admin/Broker and checked the box for Fully Canceled.
What can I do in a Canceled/App Transaction file?
There are some limitations to what you can do with a Canceled/App Transaction.
If your Transaction is Canceled but should be Pending, it can be reactivated by clicking on the Reactivate File button in the Canceled Contracts section.
If your Transaction is Canceled, the file cannot be marked as Closed or Archived. To Close or Archive a Fully Canceled file, it would need to first be reactivated. Once reactivated, it could be closed.
Additionally, the data within a file of this status cannot be updated, as there is no Next button to click and save your changes.
A Closed Transaction is a file that has been marked as Escrow Closed by an Admin or Broker, but the file hasn't been moved to the Archives.
Closed Transactions, unlike Archived Transactions, are accessible from the Manage Transactions page of SkySlope in a section labeled Closed Transactions to be Archived.
What can I do in a Closed Transaction file?
There are some limitations to what you can do with a Closed Transaction.
If your Transaction is Closed, it cannot be changed to Canceled. To Cancel a Closed Transaction, the file would first need to be Archived. Once in the Archives, the file could be reactivated and brought to Pending status. Once Pending, it could be canceled.
If your Transaction is Closed, it cannot be changed to Pending. To reactivate a Closed Transaction, the file would first need to be Archived. Once in the Archives, the file could be reactivated and brought to Pending status.
Additionally, the data within a file of this status cannot be updated, as there is no Next button to click and save your changes.
An Archived Transaction is a file that has been marked as Escrow Closed by an Admin or Broker and has been moved to the Archives.
Archived Transactions, unlike Closed Transactions, are only accessible from the Access Archives section. To pull up Archived files, click on Access Archives from the home page.
What can I do in an Archived Transaction file?
There are some limitations to what you can do with a Closed Transaction.
If your Transaction is Archived, it cannot be changed to Canceled. To Cancel an Archived Transaction, the file would first need to be reactivated and brought to Pending status. Once Pending, it could be canceled.
Additionally, the data within a file of this status cannot be updated, as there is no Next button to click and save your changes.
