In the world of tech innovation, we here at SkySlope are always trying to make your job easier. Quick Audit is streamlined file review technology that allows admins to review files and documents as swiftly as possible. Built right into the Docs to Review section, Quick Audit sends you right into files with pending documents, lets you review them at lightning speed, and gets you on your way. Check it out!

Quick Audit is getting a new look! 

We’ve updated the Quick Audit screen with a more modern design to improve visual clarity and provide a cleaner, more intuitive user experience. It's still the same auditing workflow you know and love, just with a fresh look.


 

Introducing Smart Audit 

We’re excited to introduce Smart Audit, a powerful new enhancement to Quick Audit. Smart Audit uses AI to scan documents and check for all required signatures and initials, to save you time. It will automatically suggest a status of Cleared if everything looks good or Rejected if anything’s missing. It’s another way we’re helping you review files faster and more accurately.

How Smart Audit Works

Smart Audit will scan submitted documents to ensure the necessary signatures and initials are on the document and in the correct location. 


If the document appears to have all signatures and initials in place, you will see a Cleared status.
If the document is missing any signatures or initials, you will see a Rejected status. The Auditor reviewing the file can then leverage Smart Audit suggestions to speed up their auditing flow.


Accepting a DocumentRejecting a Document
  1. Smart Audit scans the document.
  2. If all signatures and initials are in place, you will see a Cleared indicator.
  3. Smart Audit will outline all signatures and initials on the document with a green box. You can now quickly review the cleared document.
  4. If, after reviewing the document, it appears to be complete, click Accept to mark the document as Completed.
  1. Smart Scan scans the document.
  2. If there are missing signatures or initials, you will see a Rejected indicator. 
  3. Click View to review the errors identified on the document.
  4. If, after reviewing the document, it doesn't appear to be complete or contains another error, click Reject to reject the document.
  5. Smart Audit will prefill a comment to the Agent, outlining any missing signatures or initials. Feel free to update the comment to fit your needs or save the prefilled comment.


Important Details About Smart Audit

Scanning for Signatures: Smart Audit will utilize the SkySlope property details to determine the number of signatures and initials that should be present on the document. More specifically, if your SkySlope property file has one Seller and two Buyer contacts, Smart Audit will check the document for one set of Seller signatures/initials and two sets of Buyer signatures/initials. Please ensure your property contacts are recorded correctly! 


Availability: Smart Audit is just getting started, and there’s more to come. It is currently available for select brokerages, and we hope to broaden its availability soon! 



Using Quick Audit

We created Quick Audit to help Auditors and Brokers spend less time at their screens and more time supporting their teams. Keep reading to learn all the ins and outs of Quick Audit.


Accessing Quick Audit

Admins and Auditors in SkySlope can follow these steps to access Quick Audit:

  1. Log in to SkySlope. 
  2. From the SkySlope home page, click on Documents to Review
  3. In the upper right corner, click on Quick Audit to access your top-speed auditing workflow.


Quick Audit Layout

Quick Audit is broken into four main sections:

  • Checklist Column (Left): Review the file's Checklist and any attached documents.
  • Property Bar(Top): Select which property file you're reviewing with the drop-down list or the < and > arrows. Change your view from Transaction files, Listing files, or Both Listing and Transactions. Change a file's assigned stage. Send an Update Agent email.
  • Document Preview (Center): Use the PDF preview window to review documents and check for required signatures and initials. Then use the Accept and Reject buttons when applicable.
  • Details Column (Right): Here you can view some of the most relevant file details, such as the property address and contact information. Toggle over to the Comments section to view Checklist comments, too.




Reviewing Documents in Quick Audit

When you first land in Quick Audit, you'll automatically be taken into the auditing workflow. You will see the Checklist and submitted documents for a property file in SkySlope. 



Using the Property Bar

You can use the Property Bar across the top of Quick Audit to navigate from one file to the next and to filter the types of files you're reviewing. 

  • Use the < and > arrows to move through the list of files with pending documents, one file at a time. 
  • Use the property address drop-down menu to select a specific file to review. 
  • Use the Transactions | Listings | Both filter to determine which types of files to review.
  • Use the Stage filter drop-down menu to change the Stage assigned to a property file.



Reviewing Documents

Once you've located the file and are ready to review it, use the tips below to navigate through Quick Audit like a pro.

  1. You will automatically be taken to the first Pending Checklist item.
  2. Use the Document Preview Window to complete your compliance review, checking the document for all essential names, dates, signatures, and initials.
    — When reviewing your documents, you might get some assistance from Smart Audit! If you see a Cleared or Rejected status, that means Smart Audit has completed a scan and checked to see whether or not all signatures are in place. Learn more about Smart Audit

  3. If the document appears to be complete, click Accept.
    If the document is missing something or requires additional attention, click Reject. Then leave a comment explaining to the Agent what needs to be corrected. Click Save to save your comment.

    Power Tip: Hitting the Enter key when typing a rejection comment saves the comment and advances the auditor to the next pending item.
  4. After clicking Accept or Reject on a document, you will be automatically guided to the following Pending document! Complete your compliance review for that document, the following document, and so on.



After you've completed your compliance review of all the documents in a given file, you can move on to the following file! Use the > arrow to proceed to the next file, or use the property address drop-down menu to select a different file. 



Additional Actions in Quick Audit

Let's dive into some additional information about the layout in Quick Audit, as well as some additional actions you can take from the Quick Audit page. 

Update a File's Stage

Use the Stage drop-down menu in the upper right to change a file's stage. For example, change the Stage from "Closed - Not Ready to Pay" to "Closed - Ready to Pay" after you've completed your compliance review.



Close or Cancel a File

From the Quick Audit page, you can easily mark a file as Closed or Canceled. Just click the Action Menu icon ⋮ in the upper right corner, and then select Close Transaction or Cancel Transaction. In a Listing file, you can follow the same steps to Withdraw a Listing.


Add an Item to the Checklist

Click the + icon to add a new item to the property file's Checklist.


Change a Checklist Item's Requirement Status

Use this button at the bottom of the document preview window to change a Required item to Not Required, and vice versa.



Remove a Document Attached to the Checklist

To remove a document currently attached to the Checklist, click the X icon.


Unapprove or Unreject a Checklist Item

Located in the same place as the Accept and Reject buttons, you can find the Unaccept and Unreject buttons. Use these buttons if you Accepted or Rejected a document by mistake. Any comments will remain intact, but the Checklist item will return to a Pending status.


Zoom In/Zoom Out and Download

At the top of the document preview window, you will find additional options for the document itself. Use the + and - icons to zoom in or out. Click the Download arrow to save a copy of the document to your device.


Shortcut to a Property File

Since all tasks can't be accomplished in Quick Audit, we've given you a shortcut to the property file! If you need to return to the file at any time, simply click the property address in the right column, and the property file will open in a new tab. This is helpful if you need to utilize Split & Assign, look at the compliance log, or browse the document list, for example.



File Details and Contact Details

The right column in Quick Audit contains some other helpful details about the file, such as the Checklist Type, Acceptance Date and property-specific email address.



Checklist Comments

The right column in Quick Audit is also where you will find any relevant Checklist Comments. When viewing a Checklist item, take a look at the Comments tab; you will see the number of comments displayed next to the Comments label. Click on the Comments tab to view the comments.
