It would be awesome if you could pull up a list by agent – this is a great tool for broker review – this way they can isolate each agent and see all they have going on, the status and the missing items without having to search each and every time
It would also be helpful if you could search by agent and when their files populate – an update agent button is included so instead of having to go into every file and into every checklist – you could give a quick update by choosing which files and selecting update (an example of when this is helpful is if you have an agent taking a trip or one who doesn’t log in often but wants to know the status of all their files – you could shoot out a group of emails without having to open every file)
It would be helpful to have a permissions dashboard – for example: you have 20 agents who are TERRIBLE with technology but keep trying to enter their files on their own and messing it up or not alerting staff they have done so – if we could turn off that option for certain agents so they can only email documents, that would save a lot of headaches or closed files we didn’t know existed and were never reviewed.
For future a more robust reporting system for monthly stats would be fantastic – how many deals were turned in, how many new listings were turned in…etc.
A way to not only store rejected files, but a way to search for them – some states still audit rejected files (like Idaho) for representation documents.
When a state audit is looming it would be awesome to select ALL files and be able to send a massive update to all agents – in Idaho for example we are required to have all files complete not only before they close but when the auditor arrives. If a file was turned in three days ago, they still expect it to be fully complete….so leading up the audit we have to go through every file and update our agents – when you have 140 agents and on average they all have 5 transactions/5 listings – that’s a lot of due diligence in a short period of time.
Notifications – it would be helpful if when an agent uploads a document or a transaction that instead of the automatic notification coming from a generic SS account, it is generated from the email attached to the specific account holder who did the uploading. This would also help differentiate if the documents/transaction/listing were uploaded by a staff member or an agent.
This may already exist but when an audit is looming it would be awesome to go straight to the checklist page and just click “print checklist documents” so you don’t have to pick and choose which items to hand the auditor, it would only be the items required by the state.
